General Data Protection or GDPR
At DS Military Books we take your privacy, and your relationship with us seriously,
and we take care not to abuse either.


The data we collect
We only collect the data necessary for the processing of any orders placed with us,
and as provided by the customer. The personal information provided with customer
accounts or orders is used solely to administer those orders.


This data will include; name, address, email address, and telephone number and
date of birth, if provided. If the customer provides multiple addresses, IE a billing
address and a separate delivery address, these will be recorded against the relevant
order, and may be recorded as a note on the account as a whole.


We also record the items purchased, as individual orders, the payment method used,
the date orders were placed, and when and how we dispatched those orders. We will
also record any other relevant information such as tracking numbers, order revisions,
transaction numbers, returns and refunds.


For online orders these details will be held on our website, and for telephone orders
a paper record will be made which will then be entered by us onto your electronic
account separate to the website.


Third Parties
Our payment providers may collect or hold data provided by the customer in order to
complete payments, and their policies will be available on request, we do not have
access to, or control over this data, the associated records, or the policies of those
providers.


Customers' names, addresses, email and telephone numbers may be provided to
our carrier in order to deliver orders, it is not shared with any other third party, unless
required by law.


Reviewing and revising the data we hold
Online customers may review and revise the data we hold by logging on to their
account and following the appropriate icons on our site. Individual orders may be
viewed in the customer's account history, individual orders may not be edited once
complete, and any need for these to be deleted will be completed by us.


Customers may request revision or removal of the data we hold, by email or letter to
the relevant addresses published on our site.


Removal of data
Should a customer wish to remove themselves from our records we will, on request,
delete their customer record. Such removal will result in deletion of all details held
against that account, including orders.


We do not track individual customers on our site and we certainly do not track
anyone's online activity once they have left our site under any circumstances. Any
'Cookies' related data is anonymous and only used to improve our site.


Storage and access to data
Data provided and recorded online is held on a remote secure server, access to this
data is restricted to our staff, and on rare occasions our technical support providers
may also have access to this data, but only ever if required in the course of resolving
a technical issue. Service providers do not usually have a need to access individual
data records and do not do so. Paper records, from telephone orders, are only
available to our staff.


Security
We are committed to ensuring that your information is secure. In order to prevent
unauthorised access or disclosure, we have put in place suitable physical, electronic
and managerial procedures to safeguard and secure the information we collect
online.


Data Backups
Our website and all related digital records are backed up on a regular basis, back
ups are retained for 30 days and then deleted.


Controlling your personal information
We will not sell or lease your personal information to any third parties, and only
distribute such information outside our business as required by our carriers to
complete deliveries, or if we are required by law to do so.


You may request details of personal information which we hold about you under the

Privacy Notice
DS Military Books will not disclose your details to anyone outside our organisation for
marketing purposes.


By placing an online order with DS Military Books, you agree to receive email
updates from us concerning your order.


By registering with DS Military Books ("Joining the website"), your personal details
will be stored on our data base as part of your account history, this will prevent you
having to input your details for every order that you place with us.


In either case we will keep a record of your previous orders, and any details
submitted within those orders. This information is accessible only by DS Military
Books, and employees of DS Military Books and will only be used for the express
purpose of facilitating your business with us. You may request, in writing, removal of
such records at any time.


All communication directly between you and our web site, including passwords, is
encrypted, and supported by our SSL Certificate.


We promise not to sell, or disclose your details to any other person or organisation
outside those required by our operation. Please note we must give your name and
address to our carriers in order to complete deliveries.


Online payments are processed by our Merchant Service Provider; SagePay, and
we do not hold any customer Credit or Debit card information or have access to any
payment card details for these transactions.


Credit or Debit card payments made in person or over the telephone are processed
manually only by DS Military Books employees. Information is used solely for the
purpose of taking payment for that specific order, is not recorded electronically by us
or held as such. Card payment merchant receipts are held securely by us in
accordance with the requirements stipulated by our service provider, for the period
required by our service provider, and are then destroyed.
